Paydance helps businesses track invoices through approval steps with their contractors. We collect only the data needed to run the service, and use it only to provide the service.

We collect only the data needed to run the service:

• Account data Email addresses, secure passcodes, sessions.
• Workflow data Dances and invoice records, party (contractor) profiles, documents you upload or forward in, and inbound emails ingested via Postmark.
• Technical data IP address, user agent, audit events — for security and abuse prevention.
• Nothing else No tracking pixels, no ad networks, no data brokers.

We use your data to provide the workflow, authenticate users, route inbound mail to the right organisation and dance, store and serve evidence documents, send transactional notifications, and prevent abuse.

Data is segregated per organisation. Contractors see only their own dances within an organisation; one tenant's staff cannot see another tenant's data. This is a product invariant, enforced at every read.

We process your data under contract (to provide the service you request) and legitimate interests (to secure and improve the service).

We do not sell your personal data. We share data only with the essential infrastructure providers required to operate Paydance: Postmark (transactional and inbound email) and AWS (document storage). No tracking pixels, no ad networks, no data brokers.

We retain your data while your account is active, and for as long as needed to provide the service and meet legal obligations.

Under UK GDPR, you have the right to access your personal data, correct inaccurate data, request deletion, object to or restrict processing, and request a portable copy of your data.

We use appropriate technical and organisational measures to protect your data, including secure authentication and controlled access.

Document storage is in AWS S3, region eu-west-2 (London) — UK data stays in the UK by default.

We may update this policy from time to time. Continued use of the service means you accept the updated policy.
